Junior Admin/Assistant

About the Role
We are seeking a highly organized and proactive Junior Admin/Assistant to support the setup, management, and ongoing administrative requirements of a DIFC Category 3C licensed Asset Manager.

This role combines administrative, office management, and personal assistant responsibilities, offering hands-on exposure to financial services, regulatory processes, and executive-level support. In addition this is a great opportunity for significant exposure to senior management and on the job learning. Startup mindset, can-do attitude.

Recent graduates or final-year students with strong organizational skills and a willingness to learn are encouraged to apply.

Key Responsibilities:

1.⁠ ⁠Regulatory & Administrative Support
Liaise with DIFC Authority, DFSA, and external service providers
Maintain and organize company records, regulatory filings, and documentation
Assist with corporate governance tasks (board resolutions, filings, etc.)
Track deadlines and ensure timely submissions
2.⁠ ⁠Office Management
Oversee day-to-day office operations and administration
Coordinate with vendors, service providers, and building management (DIFC)
Manage office supplies, equipment, and procurement
Ensure a professional and organized office environment
Handle incoming/outgoing correspondence and deliveries
Support onboarding logistics for new team members (if required)
Manage Social Media accounts
3.⁠ ⁠Personal Assistant & Executive Support
Manage calendar scheduling, meeting coordination, and reminders
Arrange internal and external meetings, including with regulators and partners
Attend meetings where required and take structured notes/minutes
Track action items and follow up to ensure completion
Assist with email management and prioritization
Support travel planning, bookings, and itineraries (if required)
Provide general executive support to ensure smooth daily operations

Requirements:
•⁠ ⁠Bachelor’s degree (Business, Finance, Law, or related field preferred)
•⁠ ⁠Fresh Grads or final year students are welcome to apply
•⁠ ⁠Strong organizational and multitasking abilities
•⁠ ⁠Excellent written and verbal communication skills (English required)
•⁠ ⁠⁠Ability to manage calendars, meetings, and executive priorities effectively
•⁠ ⁠Proficiency in Microsoft Office (Word, Excel, Outlook)
•⁠ ⁠High attention to detail and ability to handle confidential information
•⁠ ⁠Proactive, reliable, and able to work independently

Preferred (Not Mandatory)
Familiarity with DIFC, DFSA, or UAE regulatory frameworks
Previous internship or experience in administration, office management, or executive support
Experience with meeting minutes, reporting, or coordination roles
Languages: Russian/Mandarin/Arabic (preffered, not mandatory)
